Privacy Policy
Effective date: October 1, 2026
Jury Manager ("we," "us") is jury-management software used by courts. This policy explains what information we handle, where it comes from, and what we do with it. It covers three groups of people: court staff who log in to Jury Manager, jurors whose records a court keeps in Jury Manager, and visitors to jurymanager.com.
1. The court owns juror data; we process it for the court
Jurors do not sign up for Jury Manager. A court loads its jury source list and manages juror records inside the system. That information belongs to the court. We store and process it only to provide the service to that court and only as the court directs. Each court can see its own jurors and nothing from any other court.
If you are a juror with a question about your summons or your record, contact the court named on your summons. We do not have the authority to change, release, or delete a court's records on a juror's request.
2. What we collect
Court staff. Name, login email, a hashed password, role (clerk, court administrator, judge, or attorney), and an activity log of actions taken in the system (what was changed, by whom, and when).
Jurors (entered by the court or submitted by the juror through the public portal). Name, residence and mailing address, date of birth, phone number, email address, juror number, summons and panel assignments, questionnaire answers including the electronic signature and the city and state where it was signed, excusal or deferral requests and the reason given (which may include medical information the juror chooses to provide), exemption and exclusion records, check-in times, attendance, and the one-way driving distance from the juror's address to the court. Text messages sent to and received from a juror's phone, and emails sent to a juror, are stored with the juror's record.
Website visitors. If you use the contact form, we collect the name, email, phone number, court, and message you enter. Our web server keeps standard access logs (IP address, browser, pages requested) for security and troubleshooting.
The "Lost your letter?" form on the juror portal sends your message by email to the court you select. We do not keep a copy of it.
3. How we use it
- To run the jury process for the court: summons lists, letters, questionnaires, reminders, check-in, panels, and jury pay reports.
- To send summons, reminders, and notices to jurors by mail, text message, or email on the court's behalf, and to deliver jurors' replies back to the court.
- To calculate driving mileage for jury pay.
- To keep an audit trail so the court can see who changed what.
- To respond when you contact us, and to keep the service secure and working.
We do not sell, rent, or share personal information for advertising, and we never market to jurors.
4. Service providers we rely on
To do the above, limited information passes through these providers, each bound to use it only to provide their service to us:
- Twilio — sends and receives text messages (juror phone numbers and message content).
- SMTP2GO — delivers email (recipient addresses and message content).
- Google Maps Platform — calculates driving distance (juror address and court address). Google reCAPTCHA protects the contact form, and Google Fonts serves the site's typefaces; each may record your IP address.
- Hostinger — hosts the servers and backups.
We may also disclose information when required by law, a court order, or a lawful request, or to protect the safety and security of the service.
5. Cookies
Jury Manager sets a session cookie so court staff stay signed in, and a security cookie that protects forms against forgery. We do not use advertising or cross-site tracking cookies. Google reCAPTCHA and Google Fonts may set their own cookies under Google's policies.
6. Security
Connections to Jury Manager use HTTPS. Passwords are stored hashed, never in plain text. Access is role-based: judge and attorney logins see only their panel, and excusal details are limited to clerks. Every change to a juror record is logged. Backups are taken regularly. No system is perfectly secure; if we learn of a breach affecting a court's data, we will notify that court without undue delay.
7. How long we keep information
A court's data stays in Jury Manager for as long as the court subscribes, plus a short wind-down period so the court can export it. After that it is deleted from active systems and ages out of backups. Courts may ask us to delete specific records sooner, subject to their own records-retention obligations. Contact-form messages are kept until we have answered them and for a reasonable time afterward.
8. Your choices
Court staff can update their name, email, and password in Settings, and may ask their court administrator to disable their account.
Jurors can reply STOP to any text message to stop receiving texts from the court through Jury Manager, and can ask their court to correct their record.
Everyone can email us with questions about this policy.
9. Children
Jury Manager is for court staff and adult jurors. We do not knowingly collect information from anyone under 18.
10. Changes to this policy
If we change this policy, we will post the new version here with a new effective date and, for material changes, notify our customer courts by email.
